Managing and Editing Suppliers in Axya

This article explains how to add, manage, and edit supplier contacts in the Axya platform. It covers how to create a new supplier, associate contacts with procurement requests (RFQs or POs), and manage pending invitations.

Accessing the Suppliers Tab

  1. From the Dashboard, click on the drop-down menu in the top left corner.

  2. Select Suppliers from the list of available tabs.


Adding a New Supplier

  1. Click the blue “Add Supplier” button.

  2. Enter the email address of the supplier you wish to add.

    • The system will automatically detect whether the email domain already exists in the database.

    • If the company domain already exists (e.g., @axya.co), a list of existing companies will appear.

  3. If the desired company does not appear, click “Create a New Supplier.”

  4. Fill out the supplier information fields:

    • First Name and Last Name

    • Preferred Language (English or French)

    • Company Name

    • Supplier ID (optional)

    • Currency (optional, depending on supplier region: Canada, US, or Europe)


Modifying Supplier Contacts

  1. Locate the supplier in your list (e.g., Admin Fab Company).

  2. Click the pencil icon next to the distribution list to edit.

  3. Add or modify the supplier’s email contact 

  4. Specify which types of requests this contact should handle:

    • RFQs (Requests for Quotation)

    • POs (Purchase Orders)

  5. You can also send training information to introduce the supplier to Axya’s features for RFQs or POs.

    • Click “Send training email” to notify the supplier by email.

  6. When finished, click “Save.”


Managing Pending Invitations

  1. Go to the Invitations tab above the supplier list.

  2. This section displays all pending supplier invitations that have not yet been accepted.

    • If no invitations are pending, the list will appear empty.


Best Practice: Always ensure supplier contact details and assigned responsibilities (RFQ/PO) are up-to-date to maintain efficient procurement workflows.
