Understanding Access Levels for Collaborators in RFQ and PO Modules

In Axya, you can manage collaboration efficiently by assigning specific access levels to your team members within the Request for Quotation (RFQ) and Purchase Order (PO) modules. Each role defines what a collaborator can see, do, and manage within your procurement workflows.

Admin Access

  • Provides full platform access—admins can view all activity, regardless of project ownership.

  • Can create, share, send, close, and manage collaborators across all RFQs and POs.

  • Ideal for users overseeing procurement operations or responsible for team and system management.

Buyer Access

  • Standard access for most users managing their own requests.

  • Can create, share, send, view, and close their own RFQs and POs.

  • Can add collaborators to the projects they own.

  • Recommended for buyers handling supplier communication and procurement execution.

Engineering Access

  • Designed for engineers supporting the initial sourcing process.

  • Can create and share requests but cannot send or close them.

  • Can add collaborators only if the request was initiated by the engineer.

  • Ensures technical contributors stay engaged while maintaining buyer control over final actions.

Viewer Access

  • Read-only role providing visibility into projects without editing rights.

  • Can view requests and receive message notifications.

  • Viewers cannot access supplier quote information or other restricted data.

  • Perfect for stakeholders or leadership who need project insight without active participation.
