How to Modify and Revise an RFQ in Axya

This article explains how to revise, update, and publish changes to an existing Request for Quotation (RFQ) in Axya. You will learn how to add addendums, update part lists, publish revisions, and adjust key details such as the RFQ end date.

Accessing Your RFQs

  1. From the main dashboard, click on the drop-down menu in the top left corner.

  2. Select the “Requests” tab located in the center of the menu.

  3. You will see a list of all your RFQs.

  4. Click on the RFQ you wish to modify .


Adding an Addendum

  1. Click on the “Add Addendum” button.

  2. Select which suppliers should receive the addendum:

    • You can select all suppliers or only specific ones.

  3. Describe the changes made to the RFQ (for example, updated drawings or specifications).

  4. Attach any new or revised files (e.g., updated technical drawings).

  5. Click “Send” to distribute the addendum to the selected suppliers.

  6. All addendums will appear below the RFQ description for reference.


Modifying the Part List

  1. Click on the blue “Edit” button next to the part list.

  2. You can now:

    • Change quantities (e.g., update from 1 to 10).

    • Add new items if additional parts have been introduced.

  3. Once your modifications are complete, you can publish the updated document:

    • With a revision note (recommended)

    • Without a revision note if you have already notified suppliers via an addendum.

Publishing a Revision

  1. Click on the blue “Publish with Revision Note” button.

  2. Add a comment explaining what has changed.

  3. The page will refresh automatically, and the updated part list will appear.


Editing RFQ Details (Description or End Date)

  1. Click on the three-dot menu located to the right of the RFQ name.

  2. You can edit key RFQ details such as:

    • Description

    • End date (for example, extend the deadline by one week)

  3. When an RFQ is revised, a notification note will appear in the supplier list to inform suppliers that a revision has been requested.

    • Suppliers who already submitted quotes will see that the revision applies to a previous version of the RFQ.
