Managing Currency Exchange Rates in the Company Settings

This article explains how to use the currency exchange rate management feature in Axya’s company settings, including enabling/disabling the feature, configuring custom rates, and understanding the impacts on active and closed RFQs.

⚙️ Accessing the Exchange Rate Settings

In your company profile, a third tab titled Company Settings provides access to exchange rate management.

🌐 Default Behavior: Market Rates

  • By default, custom exchange rate management is disabled.

  • Axya automatically uses market exchange rates, updated daily (or hourly depending on the currency).

  • Conversion is applied automatically for foreign currency submissions (e.g., CAD → USD, CAD → EUR).

  • Market rates mentioned in the video:

    • CAD → USD: 0.71

    • CAD → EUR: 0.61

🏢 Enabling Your Company’s Custom Exchange Rates

If your organization wants to apply its own internal conversion rates:

  1. Enable the custom exchange rate option.

  2. Input your preferred rates (e.g., CAD → USD = 0.70, CAD → EUR = 0.65).

  3. Click Save.

  4. A confirmation message appears stating which user updated the settings and when.

🔄 Impact on Active RFQs

When custom values are saved:

  • All active RFQs (not closed) containing submissions in foreign currencies are automatically recalculated.

  • Example:

    • A supplier submits 10,000 USD.

    • The configured CAD → USD rate is 0.70.

    • Converted price displayed = 10,000 USD / 0.70 = 14,285.71 CAD (approx.).

If the user later updates the rate (e.g., to 0.80), all active requests update accordingly.

🔒 Impact on Closed RFQs (Cancelled or Awarded)

Once an RFQ is closed:

  • The exchange rate valid at the time of closure becomes locked in.

  • Changing the preferred rate afterward will not affect the closed RFQ.

Example from the video:

  • An RFQ was closed with a rate of 0.70.

  • The user updates the setting to 0.90.

  • When reopening the closed RFQ, the applied rate remains 0.70.

🔧 Disabling the Feature (Back to Market Rates)

You can disable the feature at any time.
When disabled, Axya switches back to real-time market rates, updated regularly through online data sources.
